Privacy & Policy
This policy covers Aok Portal and the data your company puts into it. It is written for the people who use the application and for anyone whose details are recorded in it.
Last updated: 14 October 2026
What is stored
The company profile, the user accounts and their roles, and the business records you enter: customers, suppliers, items, transactions and, where the payroll and attendance modules are used, employees' personal details, wages and leave. The application also keeps technical records of who signed in and what they changed, so a record can be traced to the person who made it.
Why it is stored
To run the application you subscribed to: to show you your own data, to calculate the documents, payroll and reports you ask for, to keep the audit trail the accounting rules require, and to answer support requests. Nothing is used to advertise to you, and your data is not used to train anything.
Who decides, and who processes
Your company decides what goes into the application and why, and is the controller of that data. The application operator stores and processes it on your company's instructions, and only as far as running the service requires.
Who else sees it
Your data is not sold or shared for anyone else's marketing. It is stored on the hosting provider's servers and, where the application sends email, through an email provider - each of which handles it only to deliver the service. Data is disclosed to an authority only where the law requires it, and the account holder is told unless the law forbids it.
How long it is kept
While the subscription runs, and for as long afterwards as the law requires - financial and payroll records are kept for the audit period the regulations set. When the subscription ends, the account holder can export the data, and it is removed from the running environment once that period is over.
How it is protected
Each company's data is kept separate from every other company's, credentials are stored as one-way hashes, access follows the roles your administrators assign, traffic is encrypted, and administrative actions are recorded.
Cookies
The application uses cookies to keep you signed in and to remember whether the sidebar was left open; the public site uses one more to remember the language you chose. Nothing kept here follows you to other sites.
Your rights
You may ask to see, correct, export or delete the data held about you. Employees and customers should address that request to the company that recorded their details, because that company decides what is kept; the operator answers the requests it receives for data it holds on the company's behalf.
